Earning a certificate

For courses that have certificates enabled, Wisteria issues you a PDF certificate when you pass every module. The certificate is emailed to you and saved against your record permanently.

How to earn one

Two conditions:

  1. The course has certificate enabled. This is set by your trainer at the course level. Not every course issues one — typically only compliance, safety, or formal training does.
  2. You’ve passed the quiz for every published module in the course.

When both are true, Wisteria auto-issues your certificate within about a minute of finishing the last module.

What’s on the certificate

Every certificate includes:

  • Your full name — exactly as it appears on your Wisteria profile
  • The course title
  • The completion date — the day you passed the last module
  • Your workspace — your company’s name
  • A unique certificate ID — for verification

Beyond that, the look depends on your workspace’s certificate template:

  • Field-based template — clean default layout with your company’s logo and accent colour
  • Custom background template — your company’s branded design with the fields overlaid

Your administrator sets the template; you receive whichever style they configured.

How you’ll get it

Two ways:

1. By email

Within a minute of completion, you’ll receive an email from noreply@getwisteria.com:

  • Subject: “Certificate: [Course Title]”
  • A short congratulatory note
  • The certificate as a PDF attachment

Open the attachment, save it wherever you keep important documents.

2. By download from your dashboard

You can re-download a certificate anytime:

  1. Sign in to /dashboard.
  2. Find the completed course.
  3. Tap the certificate badge.
  4. The PDF downloads.

Re-downloads use the current workspace template — so if your administrator changed the template since you earned the certificate, your re-download will look different from the original email attachment.

What if you don’t get the email

A few common causes:

  • Spam folder. Check there first.
  • Your workspace has email notifications partially off. Talk to your administrator.
  • The course didn’t have certificates enabled. Check the course detail page — there should be a “Certificate” indicator. If it’s missing, no certificate was generated.

You can always re-download from your dashboard regardless.

Sharing your certificate

The PDF is yours. Share it on LinkedIn, attach to a CV, send to a regulator, store wherever:

  • LinkedIn — there’s no direct integration yet. Upload manually to your profile or attach to a Position entry.
  • Email — forward the PDF to anyone who needs to see it.
  • Print — the layout is designed to print well at A4 or US Letter size.

The certificate ID is unique and verifiable — if someone wants to confirm it’s legitimate, they can contact hello@getwisteria.com with the ID. (A self-service verification page is on the roadmap.)

What if your name on the certificate is wrong

The certificate uses the full name field on your Wisteria profile at the time of completion.

  • If your name is wrong now — ask your administrator to fix your profile. Future certificates will be correct. Past certificates won’t change.
  • If your name needs to match a legal document exactly — confirm with your administrator BEFORE completing the course. Ask them to update your profile first.

Recertification

If a course requires recertification:

  • Your previous certificate stays in your record.
  • When recert is due, the course reappears on your dashboard.
  • After re-passing, you get a NEW certificate with the new completion date.

Both certificates are visible in your record. Some compliance regimes require evidence of consecutive certifications, not just the latest — Wisteria preserves the chain.

What if the certificate looks wrong

  • Typo in name — fixable by your administrator; future certificates will be correct
  • Wrong date — should match the day you passed the last module; if it doesn’t, file a bug
  • Wrong course title — same; file a bug
  • Branding looks off — depends on your workspace’s template; your administrator can change it

If you spot anything that looks legitimately wrong, tell your administrator. They can re-issue or adjust if necessary.

Audit trail

Every certificate issuance is recorded in the audit log. Your administrator and auditor can see when and why each certificate was issued. The PDF itself is also stored by Wisteria — re-downloads pull from this stored copy.
